Objective

This procedure is intended to ensure that data used for PTAGIS projects that is stored on individual workstations are securely backed up.

Scope

This procedure encompasses backing up data from individual desktop workstations. Laptop PCs are to be backed up to your desktop PC. Individual e-mail accounts are backed up in Sellwood. PTAGIS Field Operations (Kennewick Field Office) servers are backed up nightly.

Responsibilities

It is the responsibility of PTAGIS Field Operations personnel to perform this procedure on all workstations for which they are assigned.

Procedure

Preliminary Setup Tasks


These tasks are to be performed once.

Do not backup programs. These can be replaced. Only back up documents and data.

1) Move all files that need to be backed up on your workstation to your default user location.

  • For Windows XP users this location is C:\Documents and Settings\<username>\My Documents.
  • For Windows Vista users this location is C:\Users\<username>\Documents.
    • <username> is the username name you log onto the workstation with.


2) Map a drive from the workstation to Silver.

  • The path for the mapped drive is \\Silver\Employee_Backups.


3) Install SyncToy on your workstation.

  • Located on the root of the drive that was mapped in step 2) is a folder called "SyncToy Setup Files".
  • Navigate to "SyncToy Setup Files".
    • If you are backing up a 32-bit OS, double click SyncToySetupPackage_v21_x86.exe.
    • If you are backing up a 64-bit OS, double click SyncToySetupPackage_v21_x64.exe.
  • Follow the on-screen prompts to complete the installation.
    • Use the default setup parameters.


4) Create a SyncToy shortcut on your desktop.

  • Under Start Menu\All Programs, control+click the SyncToy icon and drag it to the desktop.


5) Setup SyncToy.

  • Double-click the SyncToy shortcut on your desktop.
  • Create a "New Folder Pair" in SyncToy.
    • Click the "Create New Folder Pair" button in SyncToy.
    • In the "Left Folder", browse to and select the folder containing the data to be backed up.
    • For Windows XP users this location is C:\Documents and Settings\<username>\My Documents.
    • For Windows Vista users this location is C:\Users\<username>\Documents.
      • <username> is the username name you log onto the workstation with.
    • In the "Right Folder", browse to the mapped drive created in Step 2).
      • Navigate to and select the sub-folder with your name.
  • Click Next.
  • Select "Echo".
  • Click Next.
  • Name your folder pair: Workstation Backup.
  • Click Finish.



6) Add a Microsoft Outlook appointment (recurring weekly) reminding you to run SyncToy on the PCs you are responsible for backing up.

Backup the Workstation


This task is to be performed weekly at a minimum. The backup can be performed at any time. It is suggested that backups be performed whenever significant changes to the files on the workstation have occurred.

  • If not already running, start SyncToy by double-clicking the shortcut on the desktop.
  • Verify that Workstation Backup is selected in the left pane of SyncToy.
  • Click Run.
    • SyncToy will create a copy of the files on Silver and then indicate when it is finished.
  • Procedure complete.


Notes:

  • The same folder pair must be used each time to ensure that backups remain incremental.
  • The first time you perform a backup it will most likely take over an hour.
  • Subsequent backups will be incremental and much quicker.
